Events Coordinator Role - What's involved

What will you be doing in the role?  Below is a list of the typical duties you'll be asked to own. We're a small dynamic team so you may get involved in other work, of a similar type, from time to time.  The core aspects of the role will include:

  1. Providing operational support for each Entrepreneurs' Forum event including:
    1. Selecting, booking and managing venues and catering;
    2. Using MailChimp to issue event invites, reminders and confirmations;
    3. Uploading event details to our website (essentially making sure the Events section of the website is up to date); 
    4. Managing delegate lists, guest badge creation, event registration, event stationery, post event evaluations and CRM entry; and
    5. Diary management for guest speakers, including arranging travel.
  2. Operational support for our flagship conference events including venue management, coordination of AV and external suppliers, speaker travel, timetable creation, together with the usual support as described in the bullet points above.
  3. Co-ordination of annual Entrepreneurial Awards including collation of nominees, selection of judges, organisation of judging visits, managing the charity fundraising aspect of the event together with the usual support for events as described in the bullet points above.
  4. Organisation of Board meetings, including attendance by Board members and corporate partners, booking venues and arranging dinners.
  5. Regular phone calls to our members to promote event attendance and engagement with Forum activities
  6. Research entrepreneurial businesses in the north east to identify potential future members.
  7. Attendance at the majority of the Forum’s events programme is expected (including work outside of normal office hours).

Remuneration and benefits

Our aim is for all staff members to love what they do.  We will offer you

  1. Full time work (37hrs per week) with a competitive salary
  2. Our office is based in Proto, Gateshead.  You can choose where you work with no fixed requirement to work from our office base.  You decide where you need to be to deliver your role effectively.  You'll need to spend time with the team as part of your induction and there are regular scheduled team meetings that take place at our office that you'll need to attend. Our team currently split their time between home and office depending on what projects they are working on.

  4. Holidays.  All staff are given 25 days paid holiday, plus statutory holidays AND we close the office between Christmas and New Year giving you a bonus 3 days paid holiday per annum.

  6. Pension.  We have a company pension scheme and contribute 5% of your qualifying earnings to the scheme each month.

What skills do you need to apply for this role?

To apply for this role you must:

  1. Have at least 2 years work experience, preferably in a dynamic organisation with competing demands
  2. Have a clean UK driving licence (you'll need to drive yourself to various event venues across the region)
  3. Have excellent communication skills, both written and spoken.  
  4. Be highly organised with excellent, bordering pedantic, levels of attention to detail.
  5. Be able to collaborate yet able to organise and prioritise your own workload with minimal supervision
  6. Interested in entrepreneurship, entrepreneurs and business growth
  7. IT competency.  We use MailChimp, Sage CRM, Adobe and Microsoft office and prior experience of these tools would be useful. 
  8. Be based in the North East of England.  Whilst this role does not require you to be office based every day, you will need to attend events taking place in the region on a regular basis, as well as visiting the venues we use for our own events.

Don't worry if you don't think you've got all the technical skills we're after.  We will train you.  We do expect you to learn quickly so you complete the core tasks without requiring ongoing supervision and correction.

Elaine will read your CV and ask the team for input.  If we like what we see, we'll invite you for an interview at our office in Proto.  Interviews are scheduled to take place between 4th-6th October. 

The interview will include a skills test which will look at your written communication skills as well as your ability to organise and priorities your workload.  This skills test will take 60 minutes.

We'll get back to you within 48 hours of your interview.

If you're successful we'll start planning your induction and on boarding.  We'd like to have you up and running in order to help with our autumn 2023 events programme.
